Where to find the right contacts
A list is built by crossing several sources, then cleaning. The perfect source does not exist; the method for combining them does.
The five sources, and what each one really gives you
LinkedIn Sales Navigator remains the most reliable source for identifying people: role, tenure, recent moves. It gives neither phone numbers nor emails, and that is by design: it is a directory of people, not of contact details. B2B databases (company directories, industry databases) give you the company, its size, sometimes the switchboard. Enrichment tools look for the direct line and the email from a name and a company.
Two sources are underused: the company website (team page, legal notices, job postings, which give you the signals) and events (trade shows, webinars, exhibitor lists), which provide contacts already moving on your topic.
- Sales Navigator: who holds which role, since when, and who just arrived.
- B2B databases: size, sector, switchboard, sometimes revenue.
- Enrichment: direct lines and emails, from a name and a company.
- Company website: signals (hiring, expansion, new products).
- Events: exhibitors and speakers, already active on your topic.
Waterfall enrichment: several vendors, one number
No single data vendor covers everything. On the same list, the first will find a direct line for some contacts, the second for others, the third will fill in a little more. Waterfall enrichment queries vendors one after the other and stops as soon as a verified number is found: you only pay for what is missing, and the hit rate climbs well above a single source.
The trap is confusing found with usable. A toll-free switchboard or a head-office landline is found, but it takes you to reception, not to the prospect. Ask your vendors to distinguish direct line, mobile and switchboard, and treat them differently in the list.
Three rules that make a list callable
First rule: numbers are validated before they enter the list. International format, country code consistent with the country, no duplicates, no ten-zero numbers. A validator does this in seconds on a thousand rows and spares you the calls that ring out.
Second rule: the law. In the United States, business-to-business calls to a company line are generally allowed, but the TCPA restricts automated dialing and calls to mobile numbers, and state rules add their own limits. Consumers, personal lines and other countries follow different rules. Check before building the list, not after the first call goes wrong.
Third rule: freshness. Contacts change jobs and companies, and an eighteen-month-old list holds a large share of wrong rows. Date every row, re-enrich anything older than a year, and remove what has not answered after a full sequence.
Combining sources: the half-day routine
Start from the ICP. In Sales Navigator or a database, filter companies by sector, size and country, then people by role. Export, deduplicate, enrich in a waterfall, validate the numbers, tag the line type (direct, mobile, switchboard), add the signal and its date. The list that comes out is callable the next morning.
Do it every week for the following week, not once a quarter for a thousand rows. A fresh list of two hundred rows produces more conversations than a two-thousand-row list ageing in a spreadsheet.
Key takeaways
- No source gives everything: people come from LinkedIn, the company from databases, contact details from enrichment, signals from websites and events.
- Waterfall enrichment queries several vendors and stops at the first verified number.
- Found does not mean usable: distinguish direct line, mobile and switchboard.
- A callable list has validated numbers, a checked legal frame and dated data.
- Two hundred fresh rows a week beat two thousand rows that age.
