# Best Call Transcription Software: 13 Tools Compared for 2026

Phone systems with built-in transcription, conversation intelligence platforms, meeting assistants and APIs: the 13 call transcription tools worth a look in 2026, what they actually transcribe, and what they cost once the add-ons are in.

A rep who makes forty calls a day logs maybe three lines of each one in the CRM. The objection, the competitor they mentioned, the budget that came up in passing: all of it is gone the moment they hang up. **Call transcription software** fixes that by turning every conversation into searchable text, then into a summary someone will actually read.

The category is confusing, though. The same label covers phone systems that transcribe natively, analytics platforms that plug into your phone system, meeting bots that can’t always hear a phone call, and APIs for developers. This guide sorts 13 tools into those families, with what each one really transcribes and what it costs once the add-ons are counted.

## The four kinds of call transcription software

Before comparing prices, figure out where your calls happen. A tool that shines on Zoom can be useless on a phone line, and the reverse is just as true.

1

**Phone systems with built-in transcription.** The call, the recording and the transcript live in one product. Nothing to connect, and the transcript lands on the contact record. Skipcall, CloudTalk, Aircall, Ringover, Dialpad, JustCall, Quo and RingCentral sit here.

2

**Conversation intelligence platforms.** They pull recordings from your phone system and video tools and analyze them at scale: topics, talk ratio, scoring, forecasting. Gong and Avoma belong here. They assume a compatible phone system upstream.

3

**Meeting assistants.** A bot joins your video call, transcribes it and writes the recap. Fireflies.ai and Otter.ai are excellent on Zoom, Teams or Meet. For phone calls, they depend on an integration or a file upload.

4

**Transcription APIs.** Twilio and similar vendors sell the building block by the minute. Great for product teams building their own tool, not for a sales team that wants CRM notes tomorrow morning.

## The 13 tools at a glance

Prices are entry prices published in October 2026, per user per month, billed annually where the vendor says so. Amounts published in euros are converted at the ECB rate (€1 = $1.1195) and marked “about”. Vendors change these often, so check before you sign.

## How we picked these tools

We started from the tools sales and support teams bring up most often, then judged each on five things: what it actually transcribes (phone, video or files), what’s in the entry price versus sold as an add-on, how the transcript reaches the CRM, minimum seat counts, and where the data is stored.

Pricing was collected in October 2026 from vendors’ public pages. Where a page wouldn’t show its price grid, we say so and use third-party data. We left out review-site star ratings: they shift weekly and measure overall satisfaction, not transcription quality.

Skipcall is on this list. We tried to describe it as plainly as the others, limits included.

## The 13 best call transcription tools in 2026

### 1. Skipcall - Best for teams that prospect by phone

**Best for:** B2B sales teams that make a lot of outbound calls and want every conversation transcribed, summarized and in the CRM without typing.

Skipcall is a phone system built for outbound: local and mobile numbers, web and mobile apps, a power dialer and a parallel dialer that rings up to four numbers at once. Transcription isn’t a module. Every call is recorded, transcribed and summarized by AI, then attached to the contact with the date, duration and outcome. The summary is posted as a note in HubSpot, Pipedrive, Salesforce or Attio.

The payoff shows up a few weeks in. A manager stops coaching from the two calls they had time to listen to and starts comparing the calls that convert with the ones that stall, across dozens of transcripts. More on the [recording and transcription page](https://skipcall.io/en/features/enregistrement-transcription).

#### Key features

- Recording, transcription and AI summary of every call
- Searchable transcript on the contact record
- Summary note pushed to HubSpot, Pipedrive, Salesforce or Attio
- Power dialer and 4-line parallel dialer
- Data hosted in the EU, configurable retention, DPA available

#### Pros

- Transcription and summaries included, no add-on
- Call data feeds straight into prospecting
- No long-term commitment

#### Cons

- No IVR or inbound call routing: not a contact center tool
- Four native CRM integrations; others connect through the API
- Doesn’t transcribe your video meetings

#### Pricing

- Transcription and summaries included from the Business VoIP plan, from $25 per month per license

### 2. Dialpad - Best for live transcription on a budget

**Best for:** teams that want to watch the transcript appear during the call without paying contact center prices.

Dialpad built its phone system around its own speech recognition engine. Real-time transcription and call summaries are included on the entry tier of its business phone product. Pricier sales and support editions add coaching features.

#### Key features

- Real-time transcription
- Call summaries and action items
- Dedicated sales and support editions

#### Pros

- Live transcription at the lowest tier
- In-house AI

#### Cons

- Billing cycle not spelled out on the pricing page
- Sales and support editions cost much more

#### Pricing

- Standard: $15 per user per month
- Sales edition: from $39 per user per month

### 3. Aircall - Best for CRM-heavy teams

**Best for:** sales and support teams that live in their CRM or help desk and want a phone system that plugs straight in.

Aircall is one of the most widely deployed cloud phone systems, with a long integration list. Call transcription is included on every plan. AI summaries are included from Professional; on Essentials they come with the AI Assist add-on. Watch the three-license minimum if your team is small.

#### Key features

- Transcription on every plan
- AI summaries from Professional
- Broad CRM and help desk integrations

#### Pros

- Mature, widely used product
- Quick to roll out

#### Cons

- 3-license minimum
- Summaries cost extra on the entry plan

#### Pricing

- Essentials: $30 per license per month (annual)
- Professional: $50 per license per month (annual)
- AI Assist add-on on Essentials: $49 per seat per month

### 4. JustCall - Best for SMB sales teams

**Best for:** small sales teams that want unlimited transcription without moving up a tier.

JustCall includes unlimited AI transcription minutes on every plan, which is unusual at this price. Summaries and call review help come with the AI Review Assist add-on, bundled only in Pro Plus.

#### Key features

- Unlimited AI transcription
- Summaries through AI Review Assist
- Common CRM integrations

#### Pros

- Transcription on the entry plan
- Cheap summary add-on

#### Cons

- 2-user minimum
- Month-to-month prices not published

#### Pricing

- Team: $29, Pro: $49 per user per month (annual)
- AI Review Assist add-on: $9 per user per month

### 5. Quo (formerly OpenPhone) - Best for solo operators and small teams

**Best for:** freelancers and very small teams that want a simple business number with every call transcribed.

OpenPhone is now Quo. It stays deliberately simple: one app, numbers, texting, and transcripts and summaries for all calls from the Business plan. On Starter, only calls handled by its AI agent get transcribed.

#### Key features

- Transcripts and summaries on all calls from Business
- Voicemail transcription on every plan

#### Pros

- Very easy to use
- Low price

#### Cons

- Few outbound sales features
- Built for the US and Canada first

#### Pricing

- Business: $23 per user per month (annual), $33 month to month

### 6. CloudTalk - Best for SMB sales and support teams

**Best for:** SMBs that want a full-featured phone system with lots of integrations and don’t mind paying for call analytics separately.

CloudTalk is a European cloud phone system used by sales and support teams alike. Transcripts, summaries and call scoring are grouped in the AI Conversation Intelligence add-on. Transcription happens after the call. The headline plan price doesn’t include it.

#### Key features

- Searchable transcripts, summaries and scoring (add-on)
- Large CRM and help desk catalog
- IVR and call queues

#### Pros

- No seat minimum on the first two plans
- Covers sales and support in one tool

#### Cons

- Transcription only with the paid add-on
- No live transcription

#### Pricing

- Starter about $28, Essential about $32, Expert about $55 per user per month (annual, published in euros)
- AI Conversation Intelligence add-on: about $10 per user per month

### 7. Ringover - Best for growing teams with European operations

**Best for:** teams selling in Europe that want calls, texts and video in one tool, with an analytics layer they can add later.

Ringover is a French phone system. Published comparisons list call transcription on its plans, and deeper conversation analysis is sold separately as Empower. Its pricing page didn’t display the grid when we checked, so the figure below comes from third-party sources.

#### Key features

- Call transcription
- Conversation analysis with Empower (separate product)
- Calls, texts and video

#### Pros

- Strong European coverage
- Up to 30% off on annual billing

#### Cons

- Hard-to-read pricing
- Advanced analytics cost extra

#### Pricing

- About $21 per user per month for the entry plan (third-party data, April 2026)

### 8. RingCentral - Best for multi-site companies

**Best for:** companies that want phone, messaging and video under one contract across several sites or countries.

RingCentral is a unified communications suite. Its AI Assistant produces transcripts and summaries, with skills that vary by tier, and sales-focused call analytics is a separate add-on. It’s a company-wide platform more than a prospecting tool.

#### Key features

- AI Assistant: transcripts, summaries, action items
- Conversation intelligence add-on
- Phone, messaging and video

#### Pros

- International coverage
- One vendor for every channel

#### Cons

- AI features differ by tier and are hard to compare
- Sales analytics are expensive

#### Pricing

- Entry tier: about $20 per user per month (annual, third-party data)
- Conversation intelligence: from $60 per user per month

### 9. Gong - Best for large sales organizations

**Best for:** sales leaders running large teams who want to tie conversations to deals and forecasts.

Gong is the reference in revenue intelligence. It pulls calls from your phone system and video tools, transcribes them and analyzes them to track deal progress, flag risk and coach reps. It isn’t a phone system, so you need a compatible one already.

#### Key features

- Call and meeting transcription and analysis
- Deal tracking and forecasting
- Coaching and call libraries

#### Pros

- Very deep analysis
- Built for complex sales orgs

#### Cons

- No public pricing; platform and onboarding fees
- Overkill for small teams

#### Pricing

- Quote-based: licenses estimated at $1,300 to $1,600 per user per year, plus a platform fee (public estimates, no official price list)

### 10. Avoma - Best for meetings and calls in one place

**Best for:** SMBs that want a meeting assistant that also handles calls from their dialer, with coaching as an option.

Avoma starts as a meeting assistant (recording, AI notes, follow-up emails) and integrates with dialers. Coaching, call scoring and deal analytics are sold as modules.

#### Key features

- AI notes and meeting transcription
- Dialer integration
- Conversation Intelligence and Revenue Intelligence modules

#### Pros

- One tool for meetings and calls
- Published pricing

#### Cons

- Coaching and scoring cost extra
- Seat caps on lower plans

#### Pricing

- Startup: $19 per seat per month (annual)
- Conversation Intelligence module: $29 per seat per month

### 11. Fireflies.ai - Best for video meeting notes synced to the CRM

**Best for:** teams that hold most conversations on video and want automatic recaps in the CRM.

Fireflies.ai sends a bot into Zoom, Teams or Meet, transcribes, summarizes and pushes notes to the CRM. For phone calls, it depends on integrations with your dialer. Its pricing page didn’t show amounts when we checked.

#### Key features

- Meeting transcription and summaries
- CRM sync
- Searchable history

#### Pros

- Free plan to try it
- Excellent on video

#### Cons

- Phone calls only through integrations
- Prices missing from the official page

#### Pricing

- Pro: $10, Business: $19 per seat per month (annual, third-party data from August 2026)

### 12. Otter.ai - Best for individual note-taking

**Best for:** one person who wants meetings and audio files transcribed for very little money.

Otter.ai is one of the best-known transcription assistants. It covers meetings and uploaded files, with minute quotas by plan. Its pricing page doesn’t mention phone call transcription, so for a call you upload the recording.

#### Key features

- Meeting and file transcription
- AI summaries and notes

#### Pros

- Free plan (300 minutes a month)
- Low price

#### Cons

- Not designed for phone calls
- Minute quotas

#### Pricing

- Pro: $8.33, Business: $19.99 per user per month (annual)

### 13. Twilio - Best for building your own pipeline

**Best for:** product teams adding call transcription to their own software.

Twilio sells the building blocks: voice, recording and transcription, billed per minute. Everything else is on you, from the interface to summaries and CRM sync. Cheap at scale, but not a ready-to-use product.

#### Key features

- Batch or real-time transcription via API
- Text analysis operators

#### Pros

- Pay as you go
- Total flexibility

#### Cons

- Requires engineering
- No interface for reps

#### Pricing

- $0.024 per minute batch, $0.027 per minute real time

## What call transcription really costs

The starting price almost never matches the invoice. There are four pricing models, each with its own trap.

**Included in the plan.** Easiest to budget: Skipcall, Dialpad, JustCall (transcripts) or Aircall (Professional for summaries). Make sure summaries are included too, not just raw text.

**Sold as an add-on.** CloudTalk, Avoma and RingCentral charge per user on top. The add-on usually applies to the whole team, not just the people who need it.

**Billed per minute.** Twilio and other APIs. Unbeatable at volume, if you have engineers to build and maintain the tool.

**Quote-based.** Gong. Add platform fees, onboarding and contract length, often multi-year.

Two more lines people forget: seat minimums (three at Aircall, two at JustCall) and the gap between the annual price on the page and month-to-month pricing, often 25 to 40% higher.

## Four things to do with transcripts once you have them

Buying the tool is the easy part. Teams that get value out of transcription use the text for a handful of specific jobs, every week.

1

**Build an objection library.** Search last month’s transcripts for “too expensive”, “we already use” or “call me next quarter”. Group the real wording reps heard, then write answers from the calls where a colleague turned it around. That’s a talk track based on evidence, not on a manager’s memory.

2

**Coach on patterns, not anecdotes.** Pull ten connected calls that booked a meeting and ten that didn’t. Compare the first thirty seconds, the questions asked and the moment the rep pitched. Patterns show up quickly, and the feedback stops feeling personal.

3

**Make handoffs painless.** When an SDR passes a lead to an account executive, the summary and transcript travel with the record. The AE walks into the first meeting knowing the pain, the budget and the names already mentioned, and the prospect doesn’t have to repeat themselves.

4

**Feed marketing the buyer’s words.** The phrases prospects use to describe their problem are better copy than anything written in a meeting room. A monthly export of recurring phrases gives your website and emails the language buyers actually search for.

## Real-time or post-call transcription?

**Post-call** transcription shows up moments after you hang up. It covers what matters in sales: the summary, the CRM note, finding an exact quote and coaching. Most phone systems work this way.

**Real-time** transcription is written during the conversation. It earns its keep in contact centers, where it can surface answers to agents or alert a supervisor. Dialpad includes it at its entry price; elsewhere it usually sits in pricier tiers.

Either way, accuracy depends first on the line. A shaky connection, crosstalk or heavy industry jargon will hurt any engine. We break those factors down in our article on [AI call transcription and summaries](https://skipcall.io/en/blog/ai-call-transcription-summaries). Before blaming the software, run a [VoIP speed test](https://skipcall.io/en/tools/voip-speed-test) to see whether the problem is the tool or the network.

## How to choose call transcription software

1. 01

   #### Where do your conversations happen?

On the phone, start with a phone system that transcribes natively. On video, a meeting assistant. Both: a phone system for calls, and a meeting assistant only if video really matters.

2. 02

   #### What's actually included?

Get it in writing: are transcription, summaries and CRM sync in the plan or extra, and is there a seat minimum?

3. 03

   #### Where does the transcript end up?

A transcript stuck inside the tool doesn’t help much. Check that it lands on the right record in your CRM as a readable note, not just a link.

4. 04

   #### Are you covered on consent?

In the US, around eleven states require everyone on the call to consent to recording, and the strictest rule applies across state lines. Read our guide to [call recording laws for businesses](https://skipcall.io/en/blog/call-recording-laws-business), and use our free [call recording notice generator](https://skipcall.io/en/tools/call-recording-notice-generator) for the script.

5. 05

   #### Test it on your own calls

Advertised accuracy means nothing for your accents, your jargon and your network. Run a one-week trial on real calls and read ten transcripts at random.

## The bottom line

Call transcription software only pays off if it captures conversations where they happen and drops the result where your team works. For a sales team on the phone, a phone system that transcribes and summarizes every call saves you a second subscription and a second integration. For video, a meeting assistant does better. For analysis at scale, a conversation intelligence platform makes sense once the team is big enough to justify it.

Whatever you pick, read the “included” line before the “starting at” line. FAQ

## Frequently asked questions

**What is the best call transcription software?**

It depends on where your conversations happen. For phone calls made by a sales team, a phone system that transcribes natively (Skipcall, Dialpad, Aircall, JustCall) saves you from wiring in a second tool. For Zoom, Teams or Meet, a meeting assistant such as Fireflies.ai or Otter.ai fits better. To analyze hundreds of calls and coach a large team, look at Gong or Avoma.

**Can a meeting assistant transcribe phone calls?**

Usually not on its own. Fireflies.ai and Otter.ai are built to join a video meeting or process an uploaded file. For a call placed from a phone or softphone, you need an integration with your phone system, or you upload the recording afterwards. Check the integration list before you buy.

**How much does call transcription software cost?**

Anywhere from free to more than $100 per user per month. Meeting assistants have limited free plans, then start around $8 to $20 a month. Phone systems either include transcription in the plan or sell it as an add-on, often around $9 to $10 per user. Conversation intelligence platforms are quote-based with platform fees. APIs bill by the minute, about $0.024 for transcription alone.

**Is it legal to transcribe business calls?**

Transcription follows the same rules as recording. In the US, federal law and most states require one party's consent, but around eleven states require everyone on the call to agree, and the strictest rule applies when callers are in different states. Our guide to call recording laws covers the details, and our free generator writes the notice to read at the start of a call.

**Real-time or post-call transcription: which one do I need?**

Most sales teams only need post-call transcription: it feeds the summary, the CRM note and coaching. Real-time transcription matters mostly in contact centers, to surface prompts to agents during the call or alert a supervisor. It often costs more and needs a clean line.

**Does Skipcall include call transcription?**

Yes. Recording, transcription and an AI summary of every call are included from the Business VoIP plan, from $25 per month, with no add-on. The summary is posted as a note on the contact record in HubSpot, Pipedrive, Salesforce or Attio.
